Before the trip

  • When will I know if I am accepted to the program?

    Once the application has been successfully completed and submitted, you will receive an acceptance email within 5-7 business days.

  • Can I apply to the program without a passport?

    Yes. However, we recommend obtaining a U.S. passport as soon as possible to ensure participation in the program. Go to the U.S. Department of State website  here to obtain or renew a passport. If the program travel dates are within six months of the expiration date on your passport, you must renew your passport. Our office offers a  free passport photo service for students going on our programs. You can also submit your passport material on the OSU-Stillwater campus at University Mailing Services (UMS).

  • How do I pay the program costs?

    Program costs charge to your bursar account. You can use any funding source within the legal use of those sources to pay for the program.

  • What is covered in the cost of the program?
    • Tuition (3 or 6 credit hours)
    • Health and Travel Insurance
    • Lodging (double or triple rooms)
    • In-Country Transportation
    • All Breakfast Meals
    • Some Group Meals
    • Entry Fees for Group Tours and Business Visits
  • Does block tuition rate apply to CAGLE programs?

  • How do I enroll in the course?

    Once the application has been successfully processed and you have been accepted, you will receive an email from The CAGLE office with descriptions of the course offerings. You must respond with the course of interest and we will provide an override to you for the course you chose so that you can enroll in the course through the OSU registration portal.

  • Will there be on-campus class meetings?

    Yes. The CAGLE will host a mandatory orientation and each program hosts pre-departure meetings. Once accepted, you will receive an acceptance email with information on when and where the class will meet. Meeting times are within the program descriptions.

  • Does OSU offer international travel and health insurance?

    Yes. Underwritten by CHUBB, Broker Services provided by Gallagher provides Oklahoma State’s Travel insurance. More information here.

  • Do I need to purchase additional international travel and health insurance?

    While it is not required, OSU recommends that students retain their own health insurance policy in addition to the policy provided. The OSU travel insurance policy includes 14 days of personal deviation travel outside the official study abroad program. While it is not required, a student may purchase additional travel insurance.     We strongly encourage purchasing Cancel For Any Reason Insurance to cover any cancellation installments and flights you might incur in the event you are unable to travel. See CAGLE staff for further details.

During the trip

  • What do I do if I need to visit a doctor or a hospital?

    If an emergency arises in which a student must visit the doctor or a hospital, please let your faculty/staff leader know and contact our insurance provider by calling AXA 24/7 Travel Assistance Services – Gallagher Global Assistance by calling 1-312-935-9242 (from inside the US) or 1-866-693-6873 (from outside of the US).

     

    Be aware that any insurance for time abroad is set up on reimbursement basis. For this reason, be sure you have a plan for accessing emergency funds for medical care if needed. In most locations, a credit card will suffice, assuming your credit limit is enough to be useful.

  • What do I do if my flight is canceled or delayed?

    If your flight is canceled or delayed, please discuss with the airline what options exist for the next available flight to your destination. If there are no available flights, discuss endorsements for another carrier. Notify your instructor of the delay or cancellation by reaching them through the contact information provided to you in your program handbook.   • What do I do if my baggage is lost?

    If your baggage is lost, go to the airport’s baggage claim office and file a report. In addition, contact OSU’s travel assistance services, AXA 24/7 Travel Assistance Services – Gallagher Global Assistance by calling 1-312-935-9242 (from inside the US) or 1-866-693-6873 (from outside of the US).

  • What do I do if my passport is lost or stolen?

    Report your passport lost or stolen by contacting the nearest U.S. Embassy or Consulate and let your faculty/staff leader know.

COVID FAQ

  • Cancel For Any Reason (CFAR) insurance

    OSU encourages individuals participation in study abroad programs to purchase optional Cancel For Any Reason (CFAR) insurance; by enrolling in a study abroad course, students are assuming some financial risk that may not be ameliorated by the university. Students may purchase supplemental CFAR insurance through OSU or, if available for their course, through an approved program provider. Before purchasing any travel-related insurance, students are encouraged to compare policies to ensure that they fully understand their coverage options and costs involved.   • Do I have to show proof of my vaccination?

    OSU does not currently require proof of COVID-19 vaccination for participation in a study abroad course. However, some countries do require various vaccinations, including COVID-19, for entry. In such a case, students will be responsible for proof of vaccination and will be held responsible for any costs incurred due to lack of compliance. This may include the cost of in-country quarantine, early return to the U.S., and any course leader expenses caused as the result of non-compliance. We would encourage travelers to carry proof of vaccination with them as they travel.

  • Know before you go

    Travel vendors and study abroad program providers used by OSU may require proof of COVID-19 vaccination for accessing their services. Students should make themselves aware of related travel-vendor and OSU policies before registering for a course, as registration fees for these type of travel courses are often non-refundable.

  • How much will I get back if the trip is cancelled?

    Before registering for any study abroad course, students should make themselves aware of whether and how much of their program investment can be recouped if their course must be cancelled due to global health conditions. For assistance, consult your travel insurance provider or CAGLE Program  Coordinator.
